ANNUAL GENERAL MEETING – 12 OCTOBER 2011

MINUTES OF LAST MEETING

ELECTION OF MEMBERS

 

Chair – Yoka Verkade (proposed Ruth Mitchell seconded Jo Higgins)

Secretary – Ruth Mitchell (proposed Cath Taylor, seconded Yoka Verkade).

Treasurer – Cath Taylor (proposed Lucy Lloyd, seconded Beth Howes)

Vice Chair – Beth Howes and Kate Weston (proposed Ruth Mitchell, seconded Duncan).

 

TREASURERS REPORT

 

Cath handed out copies of accounts, detailed as follows:-

 

£8,884.65 raised this year being firecracker £2057.51, quiz £700, Summer Fair £4910.94, Happy School Bag £500 (x2), Invitation Book £405, Mothers Day trays £244.86, Reception DVD £65.

 

We contributed towards Year 6 leavers presents £150, Lifeskills £360, Panto £695, Royal Wedding £58.52, school disco £125, presents afternoon £53.86 (loss due to costs of wrapping paper, etc), £122.85 carnival, Pirate Island £12,202.65, tyre park – no cost – loss of £5020.98 - £2,000 running balance - £12,000 available. Cheques lost now sorted.

 

CHAIRS REPORT

 

Yoka thanked everyone for their help – Mr Bridgen, Di/Jo/Julie in office, teaching staff, Lorraine and Mike. New committee members from last AGM have been great help.

 

Events for the year being:-

 

Happy School Bag - £224 – thank you to everyone.

 

Invitation Book – thanks to Cath Taylor for organizing.

 

Xmas Fair – great success – thank you to Emma and Michael Bergen for coffee stall.

 

Present afternoon – great success.

 

Disco – DJ done great job, booked again for this year.

 

Quiz – Jo Higgins and Martin from Westcoast (Quizmaster) done an excellent job – thank you to both.

 

Mothers Day trays – great success - £1 a tray – 215 sold in 15 minutes.

 

Pirate Island opening - Steve from G4S presented with certificate for £500 – Mercury also present – thanks to Angela – Press Officer.

 

Ladies Night – Rob worked hard but unfortunately did not sell enough tickets.

 

Tyre Park opened.

 

Happy School Bag - £279.40.

 

Carnival – well done to Julie Kirk and team.

 

Summer Fair – another great success, reduced entry to £1, more outside stall holders.

 

Overall a fantastic year.

Julie Kirk – Carnival – stepping down – any volunteers.

 

GENERAL POINTS

 

Structure proposal – Beth and Mike Hinds spoke about being more structured possibly appoint Project Managers and team who can get more involved.  Table of events – usual and others – Mike to organize. What other things can we do?

 

Expense requests – for raffle – classes and year groups to compete for most tickets sold, 50% of money raised by year group to be received back to spend on resources for class.

 

Mike Scriven spoke about various items would like to purchase being visualiser (9 needed at a cost of £2-2,500 for all). Wireless headphone system needed for hall.  A roof for sports court, not sure of cost, further fundraising events needed to cover, possibly Olympics theme and grants available.  Basketball nets to be left at present.
